This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered voice interview practice and recruitment platform (the "Service").
By accessing or using Vocaid, you consent to the practices described in this policy. If you do not agree with any part of this policy, please discontinue use of our Service immediately.
This policy applies to all users of our Service, including individual job seekers (B2C), organizational recruiters and hiring managers (B2B), and candidates invited to interview through organizational links.

To power search, coaching, and job matching, we convert some of your content — your resume, interview transcripts, feedback, and profile details — into numeric representations called embeddings. Embeddings are derived from your personal data and we treat them as personal data: they are stored securely with your account, they are never shared with third parties for their own purposes, and they are deleted when the underlying content is deleted, including when you exercise your deletion rights (see "Your Rights").
We aggregate publicly posted job listings from third-party job boards and, if you have a profile or uploaded resume, compare their requirements with your skills and preferences to suggest relevant roles. This matching happens inside Vocaid: job boards do not receive your profile, resume, or identity from us. If you click through to an external listing, you leave Vocaid and the destination site's own privacy policy applies; we record the click (which listing, when) for 180 days to improve suggestions.
Vocaid uses advanced speech-to-text and voice analysis technology to process your spoken interview responses. This section provides specific details about how your voice data is handled.

Voice data retention: Raw audio recordings are retained for 90 days after each session, then permanently deleted. Interview transcripts are retained for 180 days after each session, then permanently deleted. Derived analytics (scores and feedback) are retained while your account is active.

Vocaid uses artificial intelligence throughout the interview process. We believe in transparency about how AI affects your experience.
For B2B hiring workflows, AI-generated scores and analysis are presented as recommendations to human reviewers. Hiring managers retain full authority over hiring decisions. Candidates may request human review of any AI-generated score or assessment.
AI-generated scores are probabilistic assessments, not objective measurements. Performance may vary based on language, accent, audio quality, internet connection, and other factors. Scores should be interpreted as one data point among many, not as definitive evaluations of a candidate's abilities.
We are committed to transparency about how your data may be used to improve our AI systems.
If you opt in to AI model improvement during onboarding or before an interview session, your anonymized and aggregated interview data may be used to improve Vocaid's AI models. This includes anonymized transcripts, scoring patterns, and aggregated behavioral signals.
We do not use your raw audio recordings, video recordings, or personally identifiable information for AI training. All training data is irreversibly anonymized before use.
You can opt out of AI training data usage at any time through your account settings or by contacting us at support@vocaid.ai. Opting out does not affect your access to or experience with the Service.
We use the following third-party AI services to power our platform. Your data is processed under our Data Processing Agreements with each provider:
Video recording, facial liveness verification, gaze tracking, and camera-based behavioral analysis are currently disabled across Vocaid — no video is captured and no facial or camera-derived data is collected or processed. Our Service does process your voice through audio recordings and transcripts to provide interview feedback; we do not create voiceprints and we do not use your voice to identify you (see "Voice Processing Notice"). If we re-enable any camera-based feature in the future, we will update this policy, notify you in advance, and ask for your separate, explicit consent before any collection begins.
We do not sell, lease, trade, or otherwise profit from your biometric data. Biometric data is never shared with third parties for their own commercial purposes.
Illinois BIPA Notice
If you are a resident of Illinois, the Biometric Information Privacy Act (740 ILCS 14) provides you with specific rights regarding your biometric data. We provide this written notice and obtain your written consent before collecting biometric identifiers or biometric information. You may contact us at support@vocaid.ai to exercise your BIPA rights.
We process voice data (audio recordings and transcripts) solely for the purpose of providing interview feedback and coaching recommendations. This data is not used for identification purposes. While camera-based features are disabled, no facial geometry data is collected for any purpose.
Because camera-based features are disabled, no facial geometry or video data is collected today, in any account type. Interview practice is audio-only. Any future reactivation of these features (for example, in organizational hiring contexts) will be preceded by written notice and will require your explicit, informed consent before each session, and this section — including the Illinois BIPA notice below — will govern that processing.
We share your personal data only in the following circumstances:
Vocaid operates globally. Your data may be transferred to and processed in countries other than your country of residence, including the United States. For transfers from the EEA, UK, or Switzerland, we rely on Standard Contractual Clauses (SCCs) approved by the European Commission. For transfers from Brazil, we use ANPD-approved transfer mechanisms under the LGPD.

We retain your data for the following periods:
You may request earlier deletion of your data (except where retention is legally required) by contacting us at support@vocaid.ai or through your account settings.
You may optionally opt in to extended retention, allowing us to keep your interview recordings and transcripts beyond the standard schedule to improve interview analytics and AI quality. This is off by default and you can withdraw it anytime in your account settings; otherwise your data is deleted on the standard schedule described above.

Vocaid is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. All users must verify their age during account creation.
If we learn that we have collected personal information from a child under 18, we will take immediate steps to delete that information. If you believe a child under 18 has provided us with personal information, please contact us immediately at support@vocaid.ai.
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will notify you by email (sent to the address associated with your account) and/or through a prominent notice on our platform at least 30 days before the changes take effect.
Your continued use of the Service after the effective date of the revised policy constitutes your acceptance of the changes. We encourage you to review this page periodically.
